Cancellation, Weather & Registration Policy
At The Be Sanctuary, we strive to balance care for our community with the practical realities of operating a small, values-based space. Our cancellation policies are designed to be fair, transparent, and sustainable for both participants and collaborators.
Weather-Related Considerations
Weather can be unpredictable, and we understand that safety and accessibility come first.
Unless otherwise stated, offerings remain scheduled as planned unless a cancellation or change is formally communicated by The Be Sanctuary or the Collaborator.
In the event of severe weather, decisions are made with care for participant safety, facilitator availability, and building accessibility.
The Be Sanctuary generally aligns with neighboring businesses in the building, which close only in the event of a Level Three Snow Emergency or higher. However, individual Collaborators may make additional adjustments based on the nature of their offering and participants’ needs.
Refunds & Credits
As a small organization, The Be Sanctuary incurs non-refundable processing fees through our payment platform (Square). When a refund is issued, the Sanctuary receives less than the original payment amount.
For this reason:
Refunds are not our preferred option.
Whenever possible, registration fees are applied as a credit toward a future session, class, or workshop.
This approach helps us remain financially sustainable while honoring participant investment.
Workshops & Special Events (Non-Recurring)
For one-time workshops or special events, the Collaborator leads the final decision regarding cancellation, rescheduling, or alternate arrangements.
If an event is postponed:
Registrations may be transferred to a rain date or rescheduled session, when feasible.
If all participants are able to attend the proposed rescheduled date, fees remain applied until the event occurs.
If an event is canceled without a reschedule option, credits toward future Sanctuary offerings are typically provided.
Classes & Ongoing Series (Weekly or Recurring)
For regularly scheduled classes or series:
Registrations may be moved to a future date on the existing schedule.
This is especially encouraged when multiple dates are available.
The Be Sanctuary is generally happy to accommodate rescheduling within the same series whenever possible.
Participant-Initiated Cancellations
When a participant chooses not to attend an offering due to weather, illness, or personal circumstances:
The Collaborator retains primary discretion in determining how participant cancellations are handled, including whether to:
Apply the registration as a credit toward a future session or offering
Allow transfer to another date within a series
Offer an alternate arrangement when appropriate
The Be Sanctuary strongly encourages credit or rescheduling over refunds whenever possible, due to non-refundable payment processing fees.
Refunds, when granted, are typically issued only at the Collaborator’s discretion and may be subject to processing fee deductions.
Collaborators are encouraged to communicate their cancellation approach clearly to participants at the time of registration or in follow-up communications.
The Be Sanctuary is available to support Collaborators in navigating these situations in a way that balances care for participants with sustainability for all involved.
Communication
Clear and timely communication is a shared responsibility.
When weather or other circumstances may affect an offering:
The Be Sanctuary and/or the Collaborator will notify registered participants as early as possible.
Participants are encouraged to reach out with questions or concerns — we aim to meet each situation with care and reason.
